The initial conversion and input of the company’s complete documentation as well as any necessary optimisation of the existing documents and information path is usually handled by INTERSCHALT, working closely together with the Designated Person and the certification authority. For new companies requiring ISO 9002 or ISM certification, we supply a standard set of documentation that must then be adapted to the companies operations and requirements. The documentation is delivered in predefined packages at predetermined milestones, providing the Designated Person with the opportunity to correct and release them as they arrive. Consulting services offered by INTERSCHALT range from the initial analysis of the company’s processes through to the creation of the individual documents, checklists, forms and drill plans. At the same time, the company’s staff are trained in the use of the program. In this way the electronically-supported ISO or ISM system can be introduced without casing major disruption to ongoing work. INTERSCHALT can also assist in the preparation and carrying-out of internal audits, helping company staff to optimise the documentation and processes in preparation for certification audits. The amount of documentation can be substantially reduced by the use of the additional programs such as NAVECS, TiTAN and AiDA. These programs are used to create and maintain databases of ship-related information, drill plans, maintenance schedules, defect reports etc. Since the programs themselves have been approved by the certification authorities, they may simply be referred to in the main documentation. The conversion of existing paper-based documentation into an electronic system will improve document-related processes such as approving and distributing changes, and ensuring that all users have access to the most up-to-date version. The savings in time, paper and transmission costs can be substantial.
