The Crew Management & Payroll system is suitable for use in the Head Office, as well as onboard the managed vessels, at manning agencies or other related offices (ship owner, crewing branch offices etc.). The objective is to avoid the exchange of documents and papers and provide a fast and reliable flow of information between all of the involved parties.
The Crew Planning module easily identifies suitably-qualified crew members i.e. for an unexpected and urgent crew relief. All personnel records within the system will be reviewed for ship and professional qualifications as well as availability. When the search is finished a list is created of seamen meeting the requirements and who are available .
If a crewmember has had to sign-off because of illness, the system considers him as not available for crew scheduling and information related to the illness and wages will be recorded for possible use in an insurance claim. The Crew Claim module keeps track of the (potential) claims and their ongoing status (in process, claimed, not claimed).
Service History contains a list of the engagement records for each seaman, including ship's name, position held, sign-on and -off dates and the reason for disengagement, if applicable. Present and planned embarkation, if applicable, are included in the service history.
Payroll Register is used for batch processing of the payroll vouchers of seamen who were allocated (i.e. onboard the ship, on leave, sick leave, training etc.) during the calculation period. It provides the means for grouping the payroll vouchers of the currently-serving seamen and processing relevant records automatically. The system is able to handle a multi-currency environment (i.e. wages calculation may be done in one currency, advances paid in another). The Payroll Register provides information for various reports and interfaces to external systems.
Management reports are used to extract much of the information stored in the crew management system. Some of the more commonly used reports are pre-defined, others may be created using a report generator.
Keeping track of expiry dates of certificates and licenses is the main function of this module, which is mainly intended for use by manning agencies but may also be used by any other authorised user. Whenever a seaman is signed on or scheduled, the system checks his licenses and certificates. In the event that the seaman's certificates are not sufficient for the position, a warning is generated. A warning is also displayed if any licenses or certificates held by the seaman are going to expire during the planned period.
